Onthen allows you to create onboarding 'plans' that you can send to customers, partners, prospects, or anyone else (we call them 'participants'). Each plan has a set of tasks that a participant needs to complete.

The Upload documents task action guides the participant to browse and select one or more files/documents.

Note: We also offer a Take photos task, which may be more suitable for your use case if you're expecting images to be uploaded.

How it works

This task action is provided by Onthen and doesn't require any outside service. You can configure the minimum/maximum number documents you expect, along with the file types (file extensions) that you can accept.

When the participant begins the task, they'll be able to browse and select the documents on their device. Once they're ready, completing the task uploads the files and allows them to move on to the next task.

If the plan is connected to a CRM, we'll upload the documents to the linked CRM object.

Add the task action

In Onthen, open the template you want to add an upload documents step into.

In the section you want to add the task, click Add task. Select Onthen / Upload documents as the task type. Add a description, due date, etc. if you need. Click Add task to create the new task.

It's best to add a good description to this task type as otherwise the participant won't know what documents you expect.

When the task is saved, click on its name to configure it. You'll see a page like this:

You can configure the number of documents you expect and the allowed file types here. Click Save task when you're happy.

Note: If you want participants to be able to upload no documents, i.e. skip the task, set the task as optional in task settings. This way they'll see a skip task option.

Note: If you provide an allowlist of file types, we'll validate that only the allowed file extensions are selected and uploaded. We don't validate the true contents of the file, so use caution when opening the file.

Using the task action

You can test the action by creating a new plan.

The quickest way to test this task action is to go to the list of plans after you've created the new plan, and click its name to open it as the user.

Once you're in the plan and click into the new task you'll see this screen that will guide the participant to select some files:

After the participant has selected some files, they'll be able to preview them and then finally click Upload & complete to finish the task:

Once complete, anyone with access to the plan (participants or users) will be able to open or download the documents from the task page:

The documents will also show on the plan summary page for users.

CRM integration

If you have a CRM integration connected and this plan is linked to a CRM object, then the files will be uploaded to the CRM record too. This is subject to the CRM integration supporting this feature, please check our documentation for the CRM. This feature is available on HubSpot.
