Assigning tasks and controlling visibility

Onboarding plans often need both the participant (person being onboarded) and the team to complete tasks. These team tasks could be admin tasks, verifying information provided by the participant, or anything else that the team is expected to do.

There are 2 task settings that control this, Who should complete this task and Hide name & description from others.

Changing the assignment

First find the task you want to make changes to, click the manage button (three dots) to the right of it, and then click Task settings.

Select who you intend to complete the task:

  • Any participant: The task is intended to be completed by the participant to the plan. Either the owner participant or any invited participants can complete it. A team member (user) can also complete tasks assigned this way.
  • Owner participant: The task can only be completed by the owner participant. This assignment type is useful for tasks such as signing agreements or verifying ID, where you need certainty that the owner participant is the person completing it.
  • Team member: The task can only be completed by a user (team member).

Remember to click Save changes when you're done.

Note: Tasks details are still visible to everyone (all participants and users), unless you make them private. I.e. If you choose for a task to be completed by a team member without making it private, only a team member can complete it but participants can still view the name and description.

Making the task private

Tasks assigned to the owner participant or a team member can be made private. To make a task private, toggle the option to Hide name & description from others:

How this works in the plan

The plan below has 2 identical tasks assigned to a team member. This is a participant's view. The first task is not private but the second one is. You'll see that on the private task (the second one), the task name is non-specific and the description is hidden.

When the participant clicks into a task, they'll see a message to say that Goodwell (the team) will complete the task. They can still comment on the task if they want to.

If the task is private, the name and description is also hidden when they view the task, like this:
